The shoebox, read —
and quoted back when the accountant asks

A mixed farm runs two businesses on one set of paper, and every spring the same figures are needed again: what went on which quarter, what the feed cost, which cows left and why. The T2042 wants them by class. AgriStability wants them by year. This finds them in your own documents and shows you the line.

The letter says what it says every year. The T2042 Statement of Farming Activities needs your expenses by class: fertilizer, pesticides, seed, feed and supplements, veterinary, custom work, fuel, the lease. The AgriStability form needs the inventory at the start of the year and at the end, by head and by bushel. The banker wants the same numbers a month later in a different order. And the figures are in the shoebox, in the truck, in the feed mill's envelope, and in your head.

The documents are ordinary and there are a lot of them. The retailer's statement for fertilizer, chemical and seed — product, tonnage and price on every line. The feed mill's monthly statement. The crop input sheet from the clipboard: quarter, crop, what went on, when. The herd record: tag, calving, preg check, treatment, cull. The land lease and the crop insurance statement. The custom work invoices, the fuel slips, the equipment loan schedule. Last year's AgriStability statement from the accountant.

The questions are short and you already know them. What went on the north quarter last spring? Which cows did we cull, and why? What did nitrogen cost us last year, all in? What did we tell the programme the herd was on the first of January? Each is answered in a document you already have. Finding it at the kitchen table in February is the whole job, and nobody on the farm has time for it.

Strategic Agent reads the documents that are already digital — the retailer's PDF statements, the accountant's spreadsheets, the file the lease came as, the export out of the herd app — and answers with a line out of one of them. At most three verbatim lines, at most two citations, each with the document's id and the line numbers. The shape of it:

The last row matters more than the first three. A tool that guessed a margin would sound exactly as sure as one that had read it, and the programme form has no box for "sounded sure". This one declines.

The accountant's job is to defend the figure, not to find it. A figure that arrives with a document and a line number beside it is one the accountant can put on the T2042 and stand behind if the CRA asks. A figure from memory is one the accountant re-derives, at the accountant's hourly rate, from the same shoebox, later. The programme is where it bites: the forms are built from the figures you report, so the records behind those figures decide what you can claim. Thin records make a thin claim. The product does not make the claim for you and does not promise a bigger one. It makes the record behind the claim findable and quotable, in the order the form wants it, and leaves the form to you and the accountant.

Most of a farm's shoebox is paper, and this is the part of the page that has to be plainest. A scanned page is read by OCR that runs on the machine itself; in the founder's own archive that has been run over 35,633 pages with nothing sent out. But a receipt photographed on a phone is a photograph, and photographed documents are catalogued, kept and reported as unread. They are not searchable yet. The honest sentence for a farm: the digital half of the shoebox reads today; the paper half has to be scanned first, and the queue of scans waiting to be read has not been worked through. The manifest lists every file that was not read and why. Nothing is skipped in silence.

It does not file the T2042. It does not compute the AgriStability margin or the AgriInvest deposit. It does not categorise an expense and call it true: it proposes the class and shows the receipt line it read it from, and you accept it or hold it. Only accepted figures enter the record. It gives no agronomy, market or veterinary advice; it has no opinion, only your documents. And nothing is required to leave the farm: it runs on the computer in the house, the model that reads your text runs there too, and it refuses to start a component that would post your files to somebody else.
